Xavier University’s Auxiliary Services Department is seeking a Mailing Services Manager who will be responsible for the entire Mail Center operation and services at Xavier University.  The Manager will supervise two full-time Mail Room Specialists and a large staff of student employees.  The position is responsible for processing and distributing mail and packages for USPS and all other carriers as well as interdepartmental mail in accordance with established procedures and federal postal regulations. This role is also responsible for scanning and tracking all packages and mail for faculty, staff, and students as well as delivering mail and packages to faculty and staff on campus. 

Responsibilities:

  • Manages the work operations and effective utilization of staff for the Mail Center.  Responsible for new employee training and making recommendations for hiring, firing, promotion and discipline of employees.  Trains internal staff on mail processing, mail security and safety regulations including proper use and maintenance of all software and equipment.
  • Acts as the liaison between the Federal Post Office and all third-party carriers and the University. Meets with representatives from those outside agencies as required.
  • Oversee the management of systems, processing payments for retail services using a POS terminal.  Research mailing services problems/issues, establish procedures and provide instruction for pickup and delivery routes.  Oversee the management of Postage, packaging and shipping supplies inventory.
  • Advises both internal department staff and other university departments on ways to achieve economy and efficiency in the use of mail as well as information regarding mailing changes and schedules.  Applies awareness of industry trends and new, state of the art or like techniques for the purpose of seeking continual improvement in services offered.  Serves as an advocate for communication with university members in design of university mail pieces and communication with USPS and other carrier personnel.
  • Prepares records of departmental postal charges for chargeback to departments and prepares other mailroom reports on a monthly, quarterly, and annual basis.  Performs managerial duties such as reporting and analysis of the business and makes decisions for the mail center based on this and industry trends.
  • Perform other duties as designed
Requirements:
  • Bachelor’s Degree and 1-3 years of relevant experience.
  • High level customer service and management skills.
  • Valid Driver's License required and must qualify as an insurable driver for the use of university vehicles.
  • Intermediate knowledge level of Microsoft Office products (Word, Excel, PowerPoint, etc.).
  • The ability to lift 30 pounds with no issue.
  • The ability to actively stand and walk the campus.
